These Terms of Service ("Terms") govern your use of GovPilot, a professional file-tracking application powered by KTS ("we", "us", or "our"). By creating an account or using GovPilot you agree to these Terms in full.
If you do not agree to all these Terms, you must not use the application.
GovPilot is a multi-tenant SaaS application that helps clearance offices, law firms, notary offices, makhatir, administrative brokers, audit firms, pursuit agents, and other professionals track their clients' personal requests submitted to public institutions, municipalities, and private companies. GovPilot is a tool used by these professionals on behalf of their clients; the public institutions themselves do not operate or administer the service. The service includes:
The service is available as an Android application (APK), an iOS application, and as a Progressive Web App (PWA) installable on devices via the browser.
To use GovPilot you must create an account with a valid email address or phone number and a secure password, and by signing in you agree to all these Terms. You are responsible for:
You must be at least 18 years old to create an account. Accounts registered on behalf of a business must be created by an authorised representative of that business.
Each person must have a unique phone number or email address. Attempting to register with a phone number already linked to another account will be blocked.
GovPilot is designed for use by organisations. Each organisation has one Owner who manages the workspace. The Owner can:
All data entered into GovPilot is scoped to your organisation. Other organisations cannot access your data.
You agree to use GovPilot, after approving and reading all these Terms, only for lawful business purposes. You must not:
GovPilot offers a Free plan and paid plans (Solo, Basic, Premium). Plan details are displayed in the app under Account → My Company → View Plans.
Paid plans are activated by subscribing through our Plans modal and paying with your credit card. Payment terms, amounts, and billing cycles are agreed directly between you and KTS at the time of subscription.
Your data belongs to you and no one else but you. KTS claims no ownership over any client files, documents, financial records, or other content your organisation enters into GovPilot. We process your data solely to provide the service you have subscribed to.
You grant KTS a limited, non-exclusive licence to store, display, process, and transmit your data as necessary to operate and improve the service. This licence terminates when your organisation deletes its data or closes its account.
We implement reasonable technical measures to protect your data, including:
No system is 100% secure. We cannot guarantee uninterrupted availability. The Free plan does not include an uptime Service Level Agreement (SLA). Paid plans may include uptime commitments agreed at the time of subscription.
We are not responsible for data loss resulting from actions taken by you or your team within the application (e.g. accidental deletion of files or transactions).
You may delete your personal account at any time from Account → Security → Delete Account in the app. Upon deletion:
Organisation owners must transfer ownership to another admin before deleting their own account. To delete all organisational data, contact us at the address below.
We reserve the right to suspend or terminate accounts that violate these Terms, engage in fraudulent activity, or present a security risk to the service or other users. We will make reasonable efforts to notify you before termination and to preserve your data for a reasonable period except where severity requires immediate action.
To the maximum extent permitted by applicable law, KTS, its directors, employees, agents, affiliates, suppliers, and licensors shall not be liable for any indirect, incidental, special, consequential, punitive, or exemplary damages arising out of or in connection with your use of GovPilot, including but not limited to:
Our total aggregate liability to you for all claims arising out of or related to these Terms or your use of GovPilot, whether in contract, tort, statute, or otherwise, shall not exceed the total amount you have paid us in the twelve (12) months immediately preceding the event giving rise to the claim, or USD 100, whichever is lower for users on the Free or trial plan.
This limitation applies regardless of the legal theory on which the claim is based and even if KTS has been advised of the possibility of such damages. Some jurisdictions do not allow the exclusion or limitation of certain damages; in those jurisdictions our liability is limited to the maximum extent permitted by law.
GovPilot, including all features, documentation, content, and related materials, is provided "AS IS" and "AS AVAILABLE" without warranties of any kind, whether express, implied, statutory, or otherwise.
To the maximum extent permitted by applicable law, KTS expressly disclaims all warranties, including without limitation:
You acknowledge that processing times at public institutions, municipalities, and private companies, and the decisions of third-party authorities, operate outside our control. KTS does not guarantee any particular outcome regarding the processing of files, approvals from public or private institutions, or interactions with any third-party authority. You use the service at your own risk.
GovPilot is a software tool only. KTS is a technology company; it does not provide legal, accounting, tax, financial, regulatory, governmental, or any other form of professional advice.
Information displayed within GovPilot, including service templates, stage names, document checklists, and example content, is provided for organisational and operational purposes only. It does not constitute professional advice and should not be relied upon as such.
You are solely responsible for:
KTS shall have no liability for any action you take, or fail to take, based on information accessed through GovPilot.
GovPilot relies on services provided by third parties, including but not limited to:
Outages, errors, security incidents, or changes in pricing or terms by any of these third parties are outside our reasonable control. We are not liable for damages arising from third-party service failures, data breaches, or any acts or omissions of third-party providers.
Your use of GovPilot is also subject to the terms and privacy policies of these third-party providers where applicable. We will use commercially reasonable efforts to select reputable providers and to migrate to alternative providers if a critical issue arises.
You retain full ownership of all content you or your team upload, enter, or generate within GovPilot ("User Content"), including but not limited to client records, scanned documents, photos, voice notes, comments, financial transactions, and custom field values.
By using the service, you grant KTS a limited, non-exclusive, worldwide, royalty-free licence to store, transmit, display, and process your User Content solely to provide the service to you. This licence terminates when you delete the content or close your account.
You are solely responsible for User Content. You represent and warrant that:
KTS does not review, endorse, or accept responsibility for User Content. We may, but are not obliged to, remove content that violates these Terms or applicable law. We may also disclose User Content if required by law, court order, or to protect our rights or the safety of others.
You are solely responsible for ensuring that your use of GovPilot complies with all laws, regulations, and rules applicable to you in the jurisdiction(s) where you operate, including without limitation:
GovPilot is operated from Lebanon and processes data on servers operated by Supabase Inc. (United States) on Amazon Web Services (AWS) infrastructure. By using GovPilot you acknowledge that personal data you upload may be transferred to, stored in, and processed in jurisdictions outside your country of residence. You are responsible for assessing whether such cross-border transfer is permitted under the laws applicable to you and, where required, for obtaining the necessary consents from data subjects.
KTS does not act as a data controller for the personal data you upload about third parties (your clients, contacts, employees); you are the data controller and KTS acts as a data processor on your behalf. A separate Data Processing Addendum (DPA) may be entered into upon request for organisations subject to GDPR, PDPL, or similar regulations.
If your local law requires the appointment of a local representative, data localisation, breach notification procedures, or any other specific compliance step, you are responsible for implementing those measures. KTS may refuse to provide service in jurisdictions where local requirements cannot be reasonably accommodated.
You agree to defend, indemnify, and hold harmless KTS, its officers, directors, employees, agents, affiliates, and licensors from and against any and all claims, demands, lawsuits, actions, proceedings, losses, damages, liabilities, costs, and expenses (including reasonable attorneys' fees and legal costs) arising out of or related to:
We reserve the right, at our own expense, to assume the exclusive defence and control of any matter otherwise subject to indemnification by you, in which event you agree to cooperate with us in defending such claim. You shall not settle any claim without our prior written consent, and we shall not settle any claim that requires you to admit liability or to pay any amount without your prior written consent (such consent not to be unreasonably withheld).
This indemnification obligation survives termination of these Terms and your account.
KTS shall not be liable for any failure or delay in performance of its obligations under these Terms to the extent such failure or delay is caused by circumstances beyond its reasonable control, including but not limited to:
If a force majeure event prevents performance for more than thirty (30) consecutive days, either party may terminate the affected agreement without further liability, subject to the survival provisions in §19.
If any provision of these Terms is held to be invalid, illegal, or unenforceable by a court or other authority of competent jurisdiction, the validity, legality, and enforceability of the remaining provisions shall not in any way be affected or impaired. The invalid, illegal, or unenforceable provision shall be deemed modified to the minimum extent necessary to make it valid, legal, and enforceable while preserving the parties' original intent as closely as possible.
The failure of KTS to enforce any right or provision of these Terms shall not constitute a waiver of such right or provision. No waiver by either party of any breach or default shall be deemed to be a waiver of any preceding or subsequent breach or default.
Termination or expiration of these Terms, your account, or your right to use GovPilot for any reason shall not affect the obligations of the parties under any provision that, by its nature, is intended to survive such termination or expiration, including without limitation:
Upon termination, your right to access the service ceases immediately. We may retain backups of your data for up to ninety (90) days for disaster-recovery purposes, after which the data is permanently deleted unless retention is required by law.
We may update these Terms as the service evolves. We will notify registered users of material changes via push notification or email at least 14 days before the new Terms take effect. Continued use of GovPilot after the effective date constitutes acceptance of the updated Terms.
The "Last updated" date at the top of this page reflects when the most recent version was published.
Governing Law. These Terms and any dispute arising out of or in connection with them shall be governed by and construed in accordance with the laws of the Republic of Lebanon, without regard to its conflict of laws principles. The United Nations Convention on Contracts for the International Sale of Goods (CISG) does not apply.
Informal Dispute Resolution. Before initiating any formal legal proceeding, the parties agree to attempt in good faith to resolve any dispute by sending a written notice to the other party at the address specified in §22 (Contact Us) and engaging in informal discussions for a period of at least sixty (60) days.
Arbitration. If the dispute is not resolved through informal discussions, the parties agree that the dispute shall be finally resolved by binding arbitration administered under the rules of either:
The seat of arbitration shall be Beirut, Lebanon (or, where DIAC applies, Dubai, UAE). The language of arbitration shall be English, with translation into Arabic or French provided at the requesting party's expense. The arbitral award shall be final and binding and enforceable in any court of competent jurisdiction.
Court Jurisdiction (Carve-out). Notwithstanding the above, KTS may seek injunctive relief or other equitable remedies in the competent courts of Beirut, Lebanon, in cases of (a) actual or threatened breach of KTS's intellectual property rights, (b) violation of the Acceptable Use clause causing immediate harm, or (c) collection of undisputed amounts owed.
Class Action Waiver. To the maximum extent permitted by applicable law, you and KTS each agree that any dispute will be brought in an individual capacity only, and not as a plaintiff or class member in any purported class, collective, or representative action.
Mandatory Local Consumer Rights. Nothing in this section is intended to exclude or limit any mandatory consumer-protection right that cannot be waived under the law of your country of residence. Where such a right applies, the dispute resolution mechanism above applies only to the extent permitted by your local law.
